A GUIDE TO AddING YOUR EVENTS

Add your event to The Fantasy Calendar with the Event Form:

Below are guides to help you complete the Event Form and address any questions you may have 🦋

HOW TO ADD AN EVENT


 

Events can include balls, fetes, meetups, faires, festivals, brunches, conventions, creative retreats, escapes, parades, tea parties and beyond…

Check out Event Type (Tags) for a full list of possible events. 

Can’t find an Event Type/Tag that fits your event?  Email events@fantastigal.com with a recommendation.

Enter the title of your event.

If there are multiple events with the same title, you may format the title—

Company Name | Event Title

Describe the experience for attendees:

• The description can include activities, keynote guests, workshops, panels, hospitality, entertainment, decorations, location, ticketing info, etc.

• Include information regarding your wait list in case the event sells out. Follow the format below—

Wait List: If the event is sold out, please join the waitlist by…

• Encourage users to explore more with links to your website and social media accounts.

Add the event date and time for the event.

  • Time Zone  

The Fantasy Calendar is global, so remember to include the time zone by typing in the city or nearest major city to your event.

  • All Day Event

Choose “All Day” for events that span multiple days or have multiple components throughout the day, like a brunch and evening ball.

For “All Day” events, include a timeline of the day’s events in the event description.

Add an image that is 16X9 ratio in .jpg or .png format and under 50 MB in size.

Only contribute images you own the copyright and/or have obtained the licenses for.

 

Select ALL the Event Themes (Categories) that best fits your event. 

Can’t find a theme that fits your event? Email events@fantastigal.com with a recommendation

Event Type/tags help potential attendees understand what kind of event you’re hosting—a ball, a larp, a brunch, a festival, a convention, ect.

Select “Scheduled”.

 To update the status to “Canceled” or “Postponed”, please email events@fantastigal.com

Fill out the venue details including the venue address and website.

These details help people find the event easily and learn about parking, accessibility, and more.

Include your website or social media link, and provide a public email for event inquiries. Do not share your personal phone number.

 

This section shows viewers when the event was added or updated.
 
Enter the current date in the following format:

Month Day, Year

(Example: March 24, 2024)

This section is to indicate where the information for the event was sourced from.

Select “Event Producer Contribution”.

For transparency, this section denotes any affiliation between your event and Fantastigal.

Select “No Affiliation” unless contacted otherwise. 

Select if tickets for your event are “Available” or if the event is “Sold Out”.

Even if your event is “Sold Out,” still add it to the calendar—potential attendees can find your event and may be able to get last-minute tickets from your waiting list.

If your event does not require tickets, select “Non-ticketed Event”

Add the lowest price using your locations currency.

Add additional tiers and/or VIP pricing in the “Event Description.”

If your event is free, type “0”.  

Remember to check all the fantastical details carefully when filling out the form ✨

ONLY CONTRIBUTE PUBLIC INFORMATION:

The information contributed will be shared publicly via the on-site calendar as well as to subscribers via 3rd party applications like Google, ical, and Outlook, ect.

Each contribution will be evaluated for content, schedule, overall relevance, and appropriateness for the audience. After review, the event will then be added to the calendar without notification.

Fantastigal’s hope is that all events listed on the calendar are relevant and promote engagement and value for costume and fantasy enthusiasts. 

NEED TO MAKE A CHANGE?

For small updates to your contribution, please contact events@fantastigal.com with the requested changes. Allow 72 hours for changes to occur in the calendar.

Through our journalistic efforts, events will be added to The Fantasy Calendar. If your event appears on the calendar and you would like to make significant updates or add additional information, please resubmit the details using the event form.

The original event listing will be replaced with your new contribution. 

 

HOW TO ADD A “TICKET LAUNCH”


 

Let attendees know when tickets go on sale!  Add a “Ticket Launch” to the calendar to remind them. Fill out the Event Form as usual, but make these changes:

Enter “Ticket Launch | Your Event Name”

Describe your event and make sure to include details about ticket options.
 
Direct attendees on where and how to purchase tickets.

Instead of entering the event details, enter the date and time tickets go on sale. Remember to add the time zone.

Include Categories for your event as well as “Ticket Launch”

Select “Available” as your tickets will be available as of the event.

Remember to check all the fantastical details carefully when filling out the form ✨
